How to stop fake attendance and fake doctor calls in pharma field teams
Practical ways Pakistani pharma companies can verify medical rep attendance and doctor visits using GPS, geofencing, offline call punch and manager approvals.
Fake attendance and made-up doctor calls are among the most common problems pharma managers mention. A rep marks attendance from home, reports visits that never happened, and the manager only finds out when sales do not move.
The fix is not more WhatsApp check-ins. It is a process where each record carries proof.
Use location at the moment of check-in
Attendance should capture the rep's location when it is marked, not a typed address. With geofencing, attendance only counts when the rep is inside the assigned area or brick.
Set clear time windows
Define the check-in window, for example 9:30 to 9:45, and let the system mark anyone later as late automatically. Outstation days can have their own start time. Clear rules remove arguments.
Record each doctor call when it happens
Each visit should be punched at the time of the call, with the doctor and the products detailed. If there is no signal, the app should save the call on the phone with its real time and sync it later, so offline areas are not an excuse.
Only allow approved doctors
Calls should be reported only against doctors in the approved master call list. New doctors go through manager approval first, which stops invented names.
Give managers a live team view
Area and zone managers should see their team's attendance and calls as they happen, not at the end of the month. Patterns such as the same location every day stand out quickly.
Connect activity to sales
When doctor calls and CSR spend sit next to distributor sales for the same area, it becomes clear which activity is producing results.
How SYNC ERP does this
The SYNC field app includes GPS attendance with geofencing, late marking by your own time windows, offline call punch and MCL approval, with a live view for managers. Book a demo to see it working.
